Total Wine Donation Request: State Rules, Lead Times, and What They Actually Give (2026 Guide)

Where Total Wine can legally donate, the 8- and 12-week notice rules, and why the answer is usually a $600 Private Wine Class for 20, approved about 76% of the time.

To request a donation from Total Wine & More, create an account on its community engagement portal at community.totalwine.com and submit an application at least eight weeks before your event (12 weeks for event sponsorship). Your event must be in a state with a Total Wine store, and Michigan is excluded entirely. What you get is specific: a Private Wine Class for 20 valued at $600, or Winery Direct wines and Spirits Direct spirits sold to your nonprofit at cost. Across 3,458 tracked applications on TheShareWay, about 76% of Total Wine donation requests are approved, and most applicants hear back within days. The Total Wine page on TheShareWay tracks the current figures.

Total Wine responds to donation requests in a median of 4 days, based on applications tracked on TheShareWay. About 6 in 10 applicants get an answer within a week, though a minority wait a month or more. Nonprofits rate Total Wine 4.9 out of 5 across 59 reviews on TheShareWay, and the reviews read the same way: fast, clear, and generous.

    What Total Wine actually gives

Total Wine's giving is not a grab bag. The portal lists three kinds of support, and each comes with state-level rules. It does not hand out gift cards or free bottles through this program.

The Private Wine Class for 20

This is the donation almost every nonprofit receives. Total Wine issues a certificate for a private class for up to 20 guests, hosted in a store's classroom, which the portal values at $600. In New Jersey and Oklahoma the value is $300, because state law limits the tasting to four wines. The typical Total Wine donation tracked on TheShareWay is worth $600, almost always a Private Wine Class for 20. Nonprofits use it as a live or silent auction lot or a headline raffle prize, and winners tend to book it as a group night out. If you plan to auction it, TheShareWay's silent auction bid sheet template is a quick way to display it.

Per Total Wine, the class is not available in Michigan, North Carolina (the portal footnotes a small number of store exceptions), South Carolina, Washington or Wisconsin, and Kosher classes are not offered.

Winery Direct and Spirits Direct at cost

Instead of donating bottles, Total Wine sells its Winery Direct wines at cost (a 30% discount) and its Spirits Direct spirits at cost (a 10% discount) to nonprofits building wine pulls, "start your own cellar" auction lots, or bar service for an event. You still pay, but at a margin the public never sees. If a wine pull is on your agenda, read how to run a wine pull fundraiser before you place the order, since the discount is worth more when you know how many bottles you need.

Total Wine says the wine discount is not available in Connecticut, Indiana, Louisiana, Massachusetts or Michigan, and the spirits discount is also unavailable in North Carolina and Virginia.

    Event sponsorship

Total Wine also sponsors galas, festivals and similar events, with a longer 12-week notice requirement. Sponsorship decisions are made case by case and lean toward organizations working in arts and humanities, education, health, and community improvement, the four areas the portal names as Total Wine's core values. Sponsorship is the smallest slice of what gets approved; if your ask is really an auction item, submit it as an auction request rather than a sponsorship.

State rules: where Total Wine can and can't donate

Alcohol donations are regulated state by state, and Total Wine's portal is unusually explicit about where each offering is off the table. The list below is Total Wine's own, as published on its portal in September 2026, and it can change.

    OfferingNot available, per Total Wine
Private Wine Class for 20MI, NC (store exceptions noted), SC, WA, WI
Winery Direct wines at costCT, IN, LA, MA, MI
Spirits Direct spirits at costCT, IN, LA, MA, MI, NC, VA
    Event sponsorshipMI

Michigan is the one blanket exclusion. In Total Wine's words, it is "not legally able to sponsor events & donate to fundraisers in the state of Michigan." In every other state the first test is simpler: there has to be a Total Wine store in the state where your event takes place. Use the Total Wine store finder to confirm before you apply.

Two things Total Wine's list does not cover. First, your own state's rules on raffling or auctioning alcohol are separate from Total Wine's ability to donate, and they are your responsibility. California is a good example of how detailed those rules get; see serving alcohol at nonprofit events in California. Second, an approved donation is only useful if your event is licensed to offer it. One nonprofit reviewing Total Wine on TheShareWay had to let a first-year donation lapse because its own alcohol permit did not come through in time, and only redeemed the second year's approval.

Lead times: eight weeks or twelve

Total Wine's portal is firm on notice. Auction and wine-and-spirits discount requests need a minimum of eight weeks before the event; event sponsorship requests need a minimum of 12 weeks. TheShareWay's directory records the same 56-day lead time. With a 4-day median response, the wait is almost never the decision itself; the notice period exists so a store can schedule the class and get the certificate to you.

Timing matters for a second reason. January and February are by far the busiest months for Total Wine requests tracked on TheShareWay, together accounting for nearly 3 in 10 applications over the past three years as nonprofits line up spring galas. Applying in those months still works, but if your event is in April or May, submitting in December keeps you ahead of the crowd and inside the eight-week window with room to spare.

How to submit a Total Wine donation request

    1. Check your state. Confirm there is a Total Wine store in your event's state and that the offering you want is not on the exclusion list above. Michigan nonprofits should skip this program.
    2. Choose the request type. Auction item (the wine class), wine and spirits discount, or event sponsorship. Pick the one that matches your ask; a reviewer on TheShareWay had a sponsorship request declined with a note to resubmit it as an in-kind auction request, which was then approved.
    3. Create a portal account. Go to community.totalwine.com and register with an email address and a password (at least eight characters, with upper- and lower-case letters, a digit and a special character). You must be 21 or older to apply. The TheShareWay Total Wine page links straight to the portal and lets you track the request afterward.
    4. Submit a new application. The form asks who your organization is, what you are requesting, the event date and location, and how the donation will be used. Keep it concrete: name the event, the audience size, and whether the item is for a live auction, silent auction or raffle. If you want a starting point for the description, adapt TheShareWay's donation request letter template.
    5. Watch your inbox, then call the store. Approvals arrive by email, usually within days. The certificate is picked up at your local Total Wine, and nonprofits on TheShareWay consistently recommend calling the store ahead of time to arrange pickup.

    Who is eligible

    • Nonprofits with an event in a Total Wine state. The event location, not your mailing address, is what counts.
    • 501(c)(3) organizations. TheShareWay's directory lists 501(c)(3) status as required, and Total Wine describes the program as support for registered 501(c)(3) nonprofits, so have your determination letter or EIN ready. The portal itself does not ask for the letter up front.
    • Applicants aged 21 or older. Total Wine states this as a condition of every request.
    • Causes aligned with Total Wine's four focus areas: arts and humanities, education, health, and community improvement. Schools, PTAs, hospital foundations, arts organizations and community nonprofits all show up regularly among approved applicants tracked on TheShareWay.
    • Not eligible: events in Michigan, and requests submitted inside the eight- or twelve-week window.

Repeat requests are welcome. Several nonprofits reviewing Total Wine on TheShareWay describe being approved in consecutive years for the same annual event.

    After you apply

Most of the waiting is short. Total Wine responds in a median of 4 days, about 6 in 10 applicants hear back within a week, and roughly 7 in 10 within two weeks. Reviews on TheShareWay describe approvals arriving the same day, overnight, or within 48 hours, with the occasional three-week wait. If you have heard nothing after a couple of weeks, the most effective move reported by nonprofits is to contact your local store directly rather than emailing the portal; store managers can see approved requests and often finish the handoff themselves. For general questions, Total Wine's contact is donations@totalwine.com.

Once approved, you collect a certificate for the wine class at the store nearest you. Bring the approval email. If you were approved for wine or spirits at cost, the store will coordinate the order with you, so plan the pickup a week or more before the event.

    Two helpful tips:

    • Send a thank-you within a few days of the event, ideally with a photo of the winning bidder; TheShareWay's thank-you letter for donation template covers the basics, and Total Wine's store teams remember the organizations that close the loop.
    • Mark the outcome on TheShareWay so the figures in this guide stay current for the next nonprofit.

Tips from nonprofits that got approved

Across 47 usable reviews of Total Wine on TheShareWay, the same advice repeats:

    • Ask for the wine class by name. "Private Wine Class for 20" is what Total Wine approves most, and requests that name it read as informed.
    • Expect the certificate, not the class, at pickup. The winner books the class with the store later, so tell bidders that scheduling is on them.
    • Call before you drive. Certificates are held at the store; calling ahead means it is waiting at the register.
    • Store staff are the real partner. Reviewers repeatedly credit local managers for smoothing pickups, answering questions, and in one case pairing the nonprofit with a personal shopper to build a bar order at cost.
    • Use both offers. A handful of nonprofits report receiving the wine class for the auction and the Winery Direct discount for the bar at the same event.
